Effective date: 22 August 2026

1. Who we are
ENTROGX Digital and Media FZE operates the SafetyVoiceAI website and is the controller of personal data covered by this Policy. We are established at Hi-Tech Office 205, SPARK AI Hub, Floor 2, Building C, Sharjah Research Technology & Innovation Park, Sharjah, United Arab Emirates. In this Policy, "ENTROGX", "we", "us" and "our" refer to ENTROGX Digital and Media FZE.
2. Scope of this Policy
This Policy applies when you visit the SafetyVoiceAI website; submit an enquiry, pilot request or readiness-review request; subscribe to product communications; attend a demonstration or meeting arranged through the website; or communicate with us by email or another business channel about SafetyVoiceAI.
It does not replace the privacy provisions, data-processing addendum or security schedule agreed with a customer for a SafetyVoiceAI pilot or production deployment. Where a customer controls workforce or HSE data and we process that data on the customer's instructions, the customer normally acts as controller and ENTROGX acts as processor, subject to the relevant written agreement.
3. Personal data we collect
Information you provide. This may include your name, business email address, telephone number, job title, employer, country or region, preferred language, enquiry details, meeting preferences, and information contained in correspondence with us.
Business and relationship information. We may record the products, sectors, sites or integration requirements that interest you; meeting notes; proposal status; and relevant communications needed to manage a prospective or existing business relationship.
Technical and usage information. When you use the website, our systems and service providers may collect IP address, device and browser type, operating system, referring page, pages viewed, approximate location derived from IP address, timestamps, cookie identifiers, and diagnostic or security logs.
Information from other sources. We may receive professional contact information from your employer, a mutual business contact, an event organiser, publicly available professional sources, or a service provider supporting lawful business development. We use such information only where permitted by applicable law.
Information you should not submit. Do not submit passwords, access credentials, trade secrets, raw operational data, incident records, medical or injury information, biometric data, voice recordings, national identification documents, or other sensitive information through a general website form. If such information is required for an authorised pilot, we will provide an approved secure channel and appropriate contractual terms.
4. How and why we use personal data
- Responding to enquiries and taking pre-contract steps — responding to you, arranging demonstrations, assessing integration requirements, preparing proposals and evaluating whether a pilot or deployment is appropriate.
- Operating and securing the website — delivering the website, preventing fraud or abuse, diagnosing faults, protecting our systems and users, and maintaining service continuity.
- Managing business relationships — meetings, communications, opportunities, contracts, service discussions and follow-up actions.
- Analytics and improvement — analysing aggregated or limited usage data to understand website performance and improve content and user experience.
- Marketing communications — where permitted, product updates, invitations or relevant business communications. You may opt out at any time.
- Legal and compliance purposes — complying with law, responding to lawful requests, establishing or defending legal claims, maintaining corporate records and enforcing our terms.
Depending on the circumstances and applicable law, our legal grounds may include your consent, steps requested by you before entering into a contract, performance of a contract, compliance with legal obligations, protection of rights and security, and other lawful grounds available for legitimate business operations. Where we rely on consent, you may withdraw it at any time without affecting processing that occurred before withdrawal.
5. Cookies and similar technologies
We may use cookies and similar technologies to operate the website, remember preferences, understand website performance and protect against misuse. Strictly necessary cookies may operate automatically because they are required for core functionality or security. Where required by law, analytics, preference or advertising cookies will be used only after the relevant choice or consent has been obtained.
You can manage cookies through available website controls and your browser settings. Blocking some cookies may affect website functionality.
6. When we disclose personal data
- Service providers — hosting, cloud infrastructure, website support, security, analytics, customer-relationship management, communications, scheduling and professional-service providers acting under appropriate obligations.
- ENTROGX group and authorised personnel — relevant affiliated entities, employees, contractors and advisers who need the information for the purposes described in this Policy.
- Business counterparties — a customer, partner or technology provider where necessary to respond to a joint enquiry or assess a requested integration, and where disclosure is lawful and appropriate.
- Authorities and legal recipients — courts, regulators, law-enforcement bodies, government authorities, insurers and professional advisers where required by law or reasonably necessary to protect rights, safety and security.
- Corporate transactions — a prospective buyer, investor, funder or successor in connection with a merger, financing, restructuring or sale, subject to appropriate confidentiality and data-protection safeguards.
We do not sell personal data for monetary consideration. If our practices materially change, we will update this Policy and provide any legally required choices.
7. International data transfers
Our website and business systems may be supported by service providers or authorised recipients located outside the country where you are based. Where personal data is transferred internationally, we take measures required by applicable law, which may include transferring to a jurisdiction recognised as providing adequate protection, using contractual safeguards, obtaining consent where appropriate, or relying on another lawful transfer mechanism.
8. Data retention
We retain personal data only for as long as reasonably necessary for the purposes described in this Policy, including business follow-up, security, legal, accounting and dispute-management requirements. A longer or shorter period may apply depending on the relationship, applicable law, a legal hold or a substantiated request.
- Unsuccessful enquiries and pilot requests — normally up to 24 months after the last meaningful interaction, unless further retention is justified.
- Active customer or partner records — for the relationship and thereafter for the applicable contractual, tax, audit and legal limitation periods.
- Website security and diagnostic logs — generally for a limited operational period, unless an incident or legal requirement justifies longer retention.
- Marketing preferences and suppression records — until you opt out or the information is no longer needed; a minimal suppression record may be retained to honour the opt-out.
9. Security
We use reasonable administrative, technical and organisational safeguards designed to protect personal data against unauthorised access, misuse, loss, alteration or disclosure. These safeguards may include access controls, authentication, encryption where appropriate, secure cloud configuration, logging, supplier controls and incident-response procedures.
No internet transmission or storage system is completely secure. You should use approved secure channels for confidential, safety-critical or sensitive information and notify us promptly if you suspect that information connected with us has been compromised.
10. Your privacy rights
Subject to applicable law and relevant exceptions, you may have the right to request information about our processing; obtain access to or a copy of your personal data; correct inaccurate data; request deletion; restrict or object to certain processing; request transfer of data in an applicable machine-readable format; withdraw consent; object to direct marketing; and request review of certain decisions based solely on automated processing.
To exercise a right, contact safetyvoiceai@entrogx.com and describe your request. We may need to verify your identity and authority before acting. We will respond within the period required by applicable law. You may also raise a complaint with the competent data-protection authority where you have the right to do so.
11. Automated decision-making
We do not use personal data collected through the public website to make solely automated decisions that produce legal or similarly significant effects about you. If this changes, we will provide the information and safeguards required by applicable law.
12. Marketing choices
You can unsubscribe from marketing communications by using the unsubscribe method included in the message or by contacting us. Opting out of marketing does not prevent us from sending necessary service, security, contractual or administrative communications.
13. Children
The website is intended for business and professional users and is not directed to children. We do not knowingly collect personal data from children through the website. If you believe that a child has provided personal data to us, contact us so that we can assess and address the matter.
14. Third-party websites and services
The website may link to third-party websites, platforms or services. Their privacy practices are governed by their own notices, and we are not responsible for their content or processing activities. Review the relevant privacy information before providing personal data to a third party.
15. Changes to this Policy
We may update this Policy to reflect changes in law, technology, the website or our practices. The updated version will be posted with a revised effective date. Where a change materially affects how we use personal data, we will provide additional notice where required by applicable law.
